How to Print an Address on an Envelope With Microsoft Word
Microsoft Word has a dedicated tab on the Ribbon to print labels and envelopes with any connected printer. Create professional mailers by neatly printing envelopes in Word instead of writing them out by hand. Set up the envelope for printing and reuse it as many times as you want.
Launch Microsoft Word and go to File > New > Blank Document to launch a new document. Alternatively, start with the pre-written letter that will go in the envelope. Select the Mailings tab on the Ribbon. In the Create group, select Envelopes to display the Envelopes and Labels dialog box. In the Delivery address field, enter the recipient’s address. In the Return address field, enter the sender’s address. Check the Omit box when you don’t want to print a return address on the envelope. Tip: Select Insert Address (the tiny book icon) to use any address stored in your Outlook Contacts. Select Options to choose the envelope size and other printing options. In the Envelope Options dialog, choose the size closest to your envelope from the dropdown. To set your own size, scroll to the bottom of the dropdown list to select Custom size. Enter the Width and Height of the envelope in the boxes. Some postal service plans follow standard address formats. The Delivery address and Return address options in the Envelope Options tab allow you to choose different fonts and finetune the addresses’ precise position on the envelope. You can do this just before printing the envelope as well. Select the Printing Options tab. Word uses the information from the printer driver to display the correct feed method. Select the appropriate feed method from the thumbnails if it differs from the default recommended by Word. Select OK to return to the Envelopes tab. Select Add to Document. Word displays a prompt asking if you want to save the return address you entered as the default return address. Choose Yes if this is the usual address you use to send your letters. You can change this address and the return address anytime. Note: Word stores the return address so you can reuse it in an envelope, label, or another document. Word sets up and displays a document with your envelope on the left and a blank page for the letter on the right. Choose the Print Layout if you don’t see this preview. Use the blank page to finish the letter. You can also write the letter first and then create the envelope. Go back to Mailings > Envelopes > Envelopes and Labels. Select Print to send both the envelope and the letter to the printer.
